Pain Management Office Manager
SUMMARY:
We looking for an energetic enthusiastic experienced office manager who under general supervision, plans and oversees all fiscal/administrative support, human resources management, and office services for a major office activity consisting of 5 or more regular front/billing/collection staff directly supporting multiple organizational units. Duties include staffing, budgeting, administrative support, purchasing, mail, bookkeeping, equipment maintenance, facilities, and/or other related functions. Directly participates in departmental administrative decision making; establishes, implements, and enforces medical office policies and procedures, and sets workflow priorities and standards.
DUTIES AND RESPONSIBILITIES:
- Supervises front desk/billing/collection personnel which typically includes recommendations for hiring, firing, performance evaluation, training, work allocation, and problem resolution; schedules and conducts interviews for new employee, contacts local staffing agencies/colleges for new employees search.
- Manages daily administrative operations of the practice including establishing work priorities and everyday tasks distribution; assists in resolving problems related to the day-to-day operations of the medical office.
- Reviews, reconciles, and evaluates monthly ledgers, budgets, and financial reporting system reports for the owner; assists with fiscal planning, development, and management of annual budgets.
- Plans, develops, and coordinates the execution of the medical practice policy, procedures, and operations; monitors compliance with HIPAA and other related policies, procedures and regulations.
- Oversees, coordinates, maintains, and/or processes payroll time sheets, sick and annual leave documents, travel reimbursements, purchasing documents, and/or employment documents for staff; works with payroll agency.
- Provides and/or oversees the provision of administrative assistance and support to the owner, to include problem solving, project planning and management, fiscal management, day-to-day medical office coordination, and secretarial services.
- Provides with the development and implementation of reporting procedures; oversees maintenance of the medical office records and/or inventories.
- Contacts/works with/searches for attorneys/collection agencies to resolve the most difficult collection problems.
- Provides market analysis, develops and executes marketing/advertising policy to attract potential patients.
- Oversees and provides database support/maintenance such as development of special reports, correspondence templates and provides back-up procedures. Contacts technical support/vendors for problem solving/purchasing of new software.
- Coordinates equipment maintenance, local network and web-server support.
- May coordinate space assignments for the unit and oversee building security, safety, and maintenance.
- Performs miscellaneous job-related duties as assigned.
MINIMUM JOB REQUIREMENTS:
Bachelor's degree with 3 to 6 years experience directly related to the duties and responsibilities specified.
